Main Purpose of the Job:
The Executive Personal Assistant (EPA) provides comprehensive support to the Chief Executive Officer, enabling them to focus on strategic priorities, organizational goals, and stakeholder engagement. This role demands a proactive, organized, and resourceful individual with exceptional communication and interpersonal skills. The ideal candidate will align with the organization’s mission and values, ensuring smooth executive-level operations and reinforcing Bayport’s image in every interaction.
Main Duties and Responsibilities
Operational:
-Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
-Prepare and organize documents, reports, presentations, and correspondence.
-Act as a liaison between the CEO and internal/external clients.
-Draft, edit, and proofread emails, reports, and other critical documents.
-Facilitate the CEO’s engagement with key stakeholders, including Board members, shareholders, and external industry bodies.
-Manage information flow promptly and accurately.
Meeting Coordination:
- Organize and prepare for meetings, including agenda creation, minute-taking, and follow-ups on action items.
- Ensure seamless meeting logistics, including scheduling and conferencing arrangements.
- Compile and distribute detailed reports and presentations to support CEO’s decisions.
Project Support:
- Assist with special projects and strategic initiatives as directed by the CEO.
- Monitor and analyze project data, completing insights to support decision-making processes.
Travel Coordination:
- Arrange complex travel itineraries, including flights, accommodations, and transportation.
- Prepare detailed travel plans and manage expenses for reimbursement.
Event Coordination:
- Plan and manage events, workshops, and conferences led by the CEO.
- Collaborate with internal teams to align event objectives with organizational goals.
Personal Assistance:
- Support the CEO with personal errands and commitments as required.
- Assist in balancing professional and personal priorities seamlessly.
Strategic and Organizational Support:
- Proactively identify areas where the CEO’s time and focus can be optimized.
- Monitor progress on organizational priorities and flag issues requiring the CEO’s attention.
- Track strategic initiatives to completion, working closely with key external and internal stakeholders.
Education:
- Minimum Qualification: Bachelor’s degree in Business Administration, Communication, or a related field preferred.
Experience and Knowledge:
- At least 4 years of experience as an executive assistant, personal assistant, or in a similar role.
- 2 years of financial services industry experience or Non-Bank lending industry preferred.
Skills and Competencies:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication skills in English and Setswana.
- Excellent organizational and time-management abilities.
- Ability to handle sensitive and confidential information with discretion.
- Exceptional attention to detail and problem-solving abilities.
- Strong interpersonal skills and ability to build relationships at all levels.
