Position Overview

We are seeking a skilled Finance Administrator to join our team in Gaborone. The ideal candidate will be responsible for managing financial operations within the gaming sector, ensuring compliance, and maintaining accurate financial records.


Key Responsibilities

Accounts Payable and Banking Administration

-Allocate purchase orders to the correct budget line items.

-Prepare, capture, and reconcile supplier invoices and petty cash payments.

-Load new creditors onto the banking system.

-Communicate proof of payment to relevant stakeholders.

-Monitor bank account balances and report cash flow requirements to the Financial Operations Manager.

-Ensure banking documentation is accurate and prepared promptly.

-Process payments in line with company policies, including validating invoices and reconciling bank transactions.

-Maintain proper filing of all banking documents.

Fixed Assets Accounting

-Prepare and reconcile monthly balance sheets, ensuring alignment with the fixed asset register.

-Process asset additions, disposals, and monthly depreciation.

-Reconcile LPM and CEMS data, escalating and resolving variances as needed.

-Assist with insurance claims and updates to site loan statements.

-Support internal and external audits.

Inventory and Office Administration

-Monitor and manage office stationery inventory, ensuring adequate stock levels.

-Obtain competitive prices from suppliers and maintain a consumable stationery spreadsheet.

-Review inventory adjustments, perform stock counts, and investigate discrepancies.

Expense Administration

-Assist with HR-related expense processes, such as deductions for cellphones and traffic fines.

-Monitor employee usage of company assets and address areas of concern.

-Process fleet-related invoices and ensure documentation accuracy.

Compliance and Taxation

-Ensure compliance with internal and external policies, including Gambling Authority regulations.

-Review and submit VAT payments accurately and on time.

-Maintain reliable financial data related to gambling activities.

Payroll and Audits

-Submit approved deduction forms to payroll by the deadline.

-Gather information for audits and ensure timely submission of requested documentation.


Qualifications and Experience

  • Education:
    • Minimum: Bookkeeping certificate.
    • Advantageous: Studying towards a Financial Management/Accounting qualification.
  • Experience:
    • 2–3 years of experience in accounting administration or processing.
    • Knowledge of general financial accounting, fixed assets, and inventory management.
  • Additional Requirements:
    • Employee Gaming License.
    • Availability for overtime and during the financial year-end period.
