Job Overview

First Edition Investments is seeking a professional and personable Receptionist to manage our front desk and provide exceptional administrative and clerical support. This role is based in Gaborone and is a critical position as the first point of contact for our organization.

As the face of the company, the receptionist will welcome guests, manage front-desk activities, and ensure smooth day-to-day operations. The ideal candidate should have excellent multitasking skills, a customer-focused attitude, and the ability to handle emergencies efficiently.

Flexibility and professionalism are essential, as this role may occasionally require extended working hours.


Key Responsibilities

-Welcome and greet guests upon arrival.

-Direct visitors to the appropriate person or office.

-Answer, screen, and forward incoming calls promptly.

-Ensure the reception area is clean, organized, and stocked with necessary supplies (e.g., forms, pens, brochures).

-Provide accurate information to clients in-person, via phone, or email.

-Receive, sort, and distribute mail and deliveries.

-Maintain office security by controlling access and adhering to safety protocols.

-Manage front office inventory, including ordering and maintaining supplies.

-Update calendars, schedule meetings, and arrange travel/accommodations.

-Maintain accurate records of office expenses and costs.

-Perform various clerical tasks, such as filing, photocopying, and faxing.


Qualifications & Skills

Minimum Requirements:

-Proven experience as a Receptionist, Front Office Representative, or similar role.

-Proficiency in Microsoft Office Suite.

-A certificate, diploma, or degree in secretarial studies, administration, or a related field.

-Hands-on experience with office equipment (e.g., printers, fax machines).

-Strong written and verbal communication skills.

-Excellent organizational skills and the ability to multitask.

-Customer service-oriented with a professional attitude and appearance.

-Ability to handle issues proactively and resourcefully.

Added Advantages:

-Valid Class B driver’s license.
