Job Overview:
Government Administration Clerks are integral to the smooth operation of administrative functions within government departments. Their responsibilities include a wide range of tasks such as procurement, budgeting, and record-keeping, all of which must be conducted in accordance with government regulations and policies.
Key Responsibilities:
- Procurement Support: Obtain written quotations from suppliers, complete requisition forms, and ensure that expenditures are properly approved and committed.
- Budget Management: Submit all necessary documents to the budget system to verify fund availability and obtain expenditure approval.
- Record Keeping: Maintain accurate records in the VA register, including requisition details, supplier information, and order numbers.
- Order Processing: Submit documents to stores to generate orders and ensure copies of relevant documents are retained for reference.
- Communication: Facilitate effective communication between departments, suppliers, and relevant stakeholders by faxing necessary documents and maintaining documentation integrity.
Requirements:
- National Senior Certificate / NQF Level 4 (No experience required).
- Basic knowledge of administrative processes.
- Proficiency in computer applications, including MS Word, Excel, MS Office Suite, and Outlook.
- Strong verbal and written communication skills, including report writing.
- Understanding of government prescripts such as the Constitution, Labour Relations, Promotion of Access to Information, and the Public Service Act.
- Problem-solving and analytical skills.
- One year of experience in a Public Service internship program is preferred.
