Job Title: Receptionist & Visitor Liaison Coordinator

Main Purpose of the Role:
Are you a courteous communicator with a knack for efficiently managing incoming calls and greeting visitors? Join our team as a Receptionist & Visitor Liaison Coordinator! The primary focus of this role is to operate our telephone system, manage incoming calls, and ensure visitors receive a warm welcome while adhering to security protocols.

Responsibilities:

  • Promptly answer incoming calls, discern the purpose, and route them to the appropriate department or individual within three rings.
  • Manage boardroom bookings, update calendars, and arrange necessary refreshments or setups.
  • Conduct daily IVR checks across multiple branches and report any identified issues promptly.
  • Handle internal mail distribution and maintain an organized filing system.
  • Screen management calls and escalations, transferring them to the designated area or person.
  • Welcome on-site visitors, ascertain the nature of their visit, and notify relevant personnel while ensuring security protocols are followed.
  • Perform clerical tasks like filing, photocopying, and collating as required.
  • Adhere to audit requirements specific to the role’s area and maintain a clean, secure reception area by following established procedures and regulations.

Requirements:

  • Minimum of 12 months experience in a Receptionist role.
  • Any administrative qualifications will be advantageous.
  • Proficiency in MS Office applications and computer literacy.
  • Excellent verbal and written communication skills in English; proficiency in an additional language among the 11 listed is a plus.
  • Ability to handle customer inquiries and complaints professionally and courteously.
  • Strong organizational skills and attention to detail.
  • Familiarity with maintaining confidentiality and following security procedures.
