Bolux Group is seeking a qualified and experienced Bakery Administrator to join our team. The successful candidate will report to the Bakery Administration & Sales Lead and will be responsible for supervising the efficient receipt, processing, and delivery of customer orders while ensuring accurate and efficient handling of invoices, claims, and transfers.

Key Responsibilities

-Participate in stock take activities to ensure accurate reconciliation of stock and figures.

-Assist with the reporting of all sales administrative functions under the supervision of the Bakery Administration & Sales Lead.

-Prepare performance-monitoring reports for Sales & Marketing Managers as required.

-Adhere to procedures for issuing credit notes.

-Control and monitor customer returns and minimize pricing claims through correct pricing of orders and invoicing.

-Liaise with customers to ensure timely deliveries and avoid unnecessary returns and credit notes.

-File and archive documentation in line with statutory and company requirements.

-Handle telephonic inquiries and provide prompt assistance to customers.

-Receive and capture customer orders, confirming prices and order details.

-Maintain and update sales and customer records.

-Compile daily and monthly sales reports.

-Expedite orders by liaising with internal departments.

-Verify and ensure drivers’ reconciliations are accurate.

-Direct customer feedback to relevant departments and maintain strong customer relationships.

-Generate ideas to enhance internal and external communication.

-Actively participate in ISO and Kaizen program implementation, contributing to compliance with food safety, health, safety, and environmental policies.

Qualifications and Experience

The ideal candidate should have:

  • A Diploma in Accounting or a related field (a Degree will be an added advantage).
  • At least three (3) years of experience in a similar position.
  • Proficiency in Microsoft Excel and general computer literacy.
  • Experience in the FMCG and manufacturing industry (an added advantage).
