Position: Temporary Assistant Records Manager / Records Officer – C3/C4 (x6 Positions)
Location: Ngwato Land Board – Main Board (x2), Paje, Serowe, Maunatlala, and Nata Sub Land Boards
Closing Date: 25 April 2025
Overview:
The Records Officer will manage records and information systems to ensure efficient documentation, file management, and mail handling. This role supports the Land Board’s compliance with records retention schedules and access protocols.
Responsibilities:
-Supervise staff in line with approved records management procedures.
-Monitor reference numbers on correspondence and case files.
-Detect and correct misfiled records.
-Classify, index, and open new files as needed.
-Maintain and update file disposal and retention schedules.
-Transfer inactive records to the Records Centre.
-Collect, sort, and distribute daily incoming and outgoing mail.
-Maintain a correspondence diary for tracking official mail.
-Manage the collection of official publications.
-Operate manual and computerized records systems.
-Retrieve and track requested files.
-Maintain database records for file movements.
-Perform additional duties as assigned.
Requirements & Skills:
- Qualifications: Diploma or Degree in Archives and Records Management, Library and Information Studies, or a related field.
- Experience: No prior experience required.
- Skills:
- Excellent organization and filing abilities
- Familiarity with both manual and digital records systems
- Attention to detail and time management
- Strong communication and administrative skills
