Overview:

Grain Field Chickens, a subsidiary of VKB Agriculture (Pty) Ltd, is seeking an organized and detail-oriented SHEQ Administrator to join their team in Reitz, Free State. This permanent role is within the integrated broiler industry, offering an opportunity to work in a professional, corporate environment in the countryside. The role involves supporting the Quality, Health, Safety, Security, and Environment (QHSSE) functions by managing administrative duties and ensuring compliance with industry standards and regulations.

Responsibilities:

-Manage documentation by controlling, filing, and administering QHSSE-related materials.

-Consolidate and prepare monthly QHSSE reports.

-Assist in conducting QHSSE induction training for new employees.

-Take minutes during QHSSE-related meetings and ensure proper documentation of discussions.

-Maintain all legal and QHSSE function documents, ensuring they meet regulatory standards.

-Log, investigate, and provide feedback on complaints and compliments.

-Manage all TIMS/QHSSE-related systems and software.

-Update and maintain health and safety records.

-Assist in developing and implementing QHSSE programs and policies.

-Control and monitor reports, correspondence, and filing for QHSSE teams.

-Organize and plan safety walk inspections and ensure necessary actions are taken based on audit findings.

-Support the implementation and maintenance of the QHSSE Management System in compliance with SANS, ISO, and company standards.

-Liaise with staff and external organizations regarding QHSSE matters under the guidance of the SHEQ Manager.

-Help prepare reports and presentations related to QHSSE initiatives.

-Ensure compliance with applicable QHSSE regulations and standards.

-Identify and correct deficiencies in the Management System and monitor their effectiveness.

-Perform other duties as required by the line manager.

Requirements:

-Grade 12 or NQF Level 4 equivalent.

-National Diploma in Safety Management.

-Completed Safety and Management Training Course (SAMTRAC).

-Minimum of 3 years’ experience in a similar role.

-Advanced proficiency in Microsoft Office, particularly Excel.

-Experience with SharePoint is an advantage.

-Knowledge of QHSSE Management Systems.

-Experience with Hazard Identification and Risk Assessment.

-Prior experience in Food Safety Management Systems is required.

-Some experience in the Poultry Abattoir environment is preferred.

-Willingness to work shifts, overtime, weekends, and public holidays when necessary.

Skills and Abilities:

-Strong understanding of ISO 22000, ISO 14001, and OHSAS 18001 standards.

-Working knowledge of ISO 18000 and 45001 certification requirements.

-Ability to coordinate and investigate incidents and perform Root Cause Analysis (RCA).

-Familiarity with environmental and legal regulations, particularly the Occupational Health and Safety Act 85 of 1993 and the National Environmental Management Act No. 107 of 1998.

-Proficiency in typing and keyboard skills, as well as advanced Microsoft Office skills.

-Strong communication skills, both over the phone and in person.

-Excellent organizational skills and the ability to prioritize workload efficiently.

-Ability to work independently while contributing to team goals.

-Strong report-writing skills, attention to detail, and quality orientation.

-Problem-solving skills and the ability to work collaboratively as a team player.
