J Haskins & Sons is seeking a professional and customer-oriented Receptionist to join our team in Gaborone. The ideal candidate will be responsible for managing front desk operations, handling communications, and providing administrative support to ensure smooth business operations.
Key Responsibilities
-Answer and direct phone calls, take and relay messages, and assist with general inquiries.
-Greet and assist visitors in a polite and professional manner.
-Handle administrative duties, including contacting suppliers for statements and managing documentation.
-Arrange staff travel, accommodation, and venue bookings in line with company policies and procedures.
-Distribute incoming mail and ensure timely dispatch of outgoing correspondence.
-Address envelopes and send outgoing post efficiently.
-Post debtors’ statements and manage courier services for incoming and outgoing parcels.
-Maintain an accurate register of incoming and outgoing mail and documents.
Knowledge and Skills
The successful candidate should demonstrate the following:
-Proficiency in switchboard operations.
-Understanding of local and international postal and courier networks.
-Experience in travel bookings and dealing with travel agencies.
-Strong communication and etiquette skills.
-Effective listening and problem-solving abilities.
-Proficiency in email communication and computer-based letter writing.
Qualifications and Experience
-BGCSE qualification.
-Certificate in Secretarial Studies, Office Management, or Computer Studies (Microsoft Office).
-At least one year of continuous experience in a similar position, preferably in a comparable work environment.
