Overview:

Anglo American’s Kumba Iron Ore business is seeking a highly organized and detail-oriented Personal Assistant to support the Commercial Manager at the Northern Cape Hub. This is a vital administrative role that ensures the smooth and professional management of daily office operations, with a strong focus on logistical coordination, document control, financial processing, and stakeholder communication.


Key Responsibilities:

1. Health and Safety:

  • Promote and maintain compliance with health, safety, and housekeeping standards.
  • Participate in SLAMs, High Potential Hazards (HPHs), and risk assessments.
  • Ensure the close-out of all assigned safety actions.

2. Performance & Delivery:

Logistics Management:

  • Coordinate travel, visas, and accommodation for the Commercial department.
  • Schedule and manage departmental meetings, visits, and consultant arrangements.
  • Maintain departmental calendars and bookings for meeting rooms and equipment.

General Office Administration:

  • Manage diaries, process orders, and perform daily office support duties.
  • Order stationery and consumables, take meeting minutes, and assist with time-related activities.
  • Handle ad-hoc administrative tasks across the department.

Financial Management:

  • Process requisitions and SAP orders.
  • Reconcile travel and general expenses.
  • Log invoices and liaise with accounts for timely payments.

Document Control:

  • Manage documentation in line with company procedures and compliance standards.
  • Maintain accurate filing systems for easy access and retrieval.
  • Distribute internal and external documents, including reports and memos.
  • Conduct background searches and compile relevant documentation for decision-making.

Monthly Reporting:

  • Prepare and compile monthly reports for stakeholders and management teams.

Qualifications and Requirements:

  • Grade 12 / N3 Certificate
  • Secretarial/Administrative qualification (NQF Level 4)
  • Valid South African Code B Driver’s Licence

Experience and Competencies:

  • 3–5 years’ experience in an administrative or secretarial role, ideally in a corporate environment.
  • Proficiency in Microsoft Office, SAP, and Excel.
  • Strong organizational, multitasking, and prioritization abilities.
  • Understanding of client service, confidentiality, and workflow efficiency.
  • Familiarity with data analysis and report preparation.
  • Team collaboration and support in cross-functional environments.
