Overview
An established engineering company based in Parow, Cape Town, is seeking an experienced and professional Office Administrator to join their team. The ideal candidate will have a solid background in office administration, basic accounting (creditors and debtors), and strong proficiency in PASTEL and Excel. This is a full-time permanent position offering a dynamic work environment and the opportunity to play a key role in day-to-day operations.
Key Responsibilities
-Perform general office administration duties including filing, data capturing, and recordkeeping.
-Serve as front-line receptionist, attending to walk-in clients and managing the reception area.
-Take and relay detailed messages and ensure excellent customer service.
-Maintain reception area tidiness and manage visitor refreshments.
-Monitor and process staff timesheets and update project data using PASTEL and Excel.
- Handle basic debtors and creditors functions:
- Load and process invoices for suppliers and creditors in PASTEL.
- Follow up with clients on outstanding payments via email.
- Assist with the collections process and communicate with the Office Manager on overdue accounts.
- Manage office supplies and place orders as needed.
- Generate spreadsheets, quotes, and reconciliations using Excel.
Requirements and Skills
-Matric (Grade 12) is required.
-A certificate in Office Administration is advantageous.
-Minimum of 3–4 years of office administration and receptionist experience is essential.
-Experience with PASTEL for loading and allocating payments.
-At least 3 years of experience in processing and monitoring debtors and creditors.
-Strong proficiency in Excel for creating quotes, spreadsheets, and reconciliations.
-Excellent written and verbal communication skills.
-High attention to detail and ability to work independently.
-Professional demeanor and strong organizational skills.
