Overview:
An exciting opportunity has arisen to appoint a qualified candidate to the role of Admin Clerk / Receptionist. This position is key to ensuring the efficient handling of samples, information accuracy, and exceptional customer service in the medical pathology field.

Responsibilities:

-Administer the sorting, receiving, and distribution of samples according to standard operating procedures, ensuring prioritized routing to various labs or sites.

-Register samples (“logging”) and handle related queries following established protocols.

-Oversee the dispatch of specimens for processing, monitor report progress, and ensure timely filing, query resolution, and report delivery.

-Perform rounds in hospitals to distribute reports and collect samples for processing, adhering to operational standards.

-Address and escalate administrative and customer service queries, ensuring prompt resolution.

-Track sample deliveries by couriers, ensuring compliance with standard procedures and timely result returns.

-Identify and resolve bottlenecks in pre-analytical lab processes.

-Maintain housekeeping in the workspace, ensuring proper cleaning and preparation of equipment.

-Monitor and order stock, ensuring required materials are available and delivered to doctors’ rooms as needed.

-Manage the reception area, providing information and directing clients while maintaining high customer service standards.

-Process patient payments and ensure cash handling aligns with standard operating procedures.

-Report incidents, log complaints, and resolve issues using the laboratory information management system.

-Prepare and scan patient forms into the laboratory system, resolving incomplete scans per procedures.

-Adhere to uniform and dress code protocols, upholding the company’s professional standards.

Requirements:

  • Education: Grade 12 or relevant NQF level 4 qualification; BSc Degree is an advantage.
  • Experience: 0-1 year of relevant work experience.
  • Skills:
    • Computer literacy, especially with laboratory information systems.
    • Strong organizational skills and familiarity with policy procedures.
    • Ability to handle nervous or distressed patients with empathy.
    • Capability to work effectively in a high-pressure environment and as part of a team.
    • Excellent administrative, communication, and interpersonal skills.
    • Attention to detail, confidentiality, and customer service orientation.
    • Flexibility, patience, and professional telephone etiquette.
    • Business numeracy and cash-handling ability.
