Overview:

We are seeking a qualified individual for the role of Admin Clerk/Receptionist on a permanent basis. The successful candidate will be responsible for handling the administration and reception duties related to the processing of medical samples, ensuring that all tasks are performed efficiently and in line with operational procedures.

Key Responsibilities:

-Receive, capture, and distribute medical samples, ensuring all information is accurately recorded.

-Sort and distribute samples according to standard operating procedures to prioritize specimen delivery to the correct laboratories.

-Register and process sample queries, ensuring timely dispatch and adherence to turnaround times.

-Perform hospital rounds to deliver reports and collect samples.

-Address and escalate administrative queries and customer complaints, ensuring timely resolutions.

-Track sample deliveries by couriers to ensure samples are received, processed, and results delivered on time.

-Investigate and resolve any delays in pre-analytical processes.

-Maintain cleanliness in the working area and ensure equipment is prepared according to protocols.

-Monitor and manage stock levels to ensure necessary materials are available at all times.

-Provide customer service at the reception area, directing clients as needed and offering accurate information.

-Handle cash payments and manage banking of funds according to procedures.

-Log incidents, handle complaints, and process tasks in the laboratory information system.

-Prepare and scan patient forms into the system, resolving any incomplete records.

-Adhere to the company’s dress code and maintain professionalism at all times.

Requirements:

  • Education: Grade 12 (NQF Level 4 qualification) is required. A BSc Degree is advantageous.
  • Experience: 0-1 year of relevant working experience.
  • Skills:
    • Proficiency in computer use, including laboratory information systems.
    • Understanding of organizational policies and procedures.
    • Strong attention to detail, communication, and customer service skills.
    • Ability to work under pressure and as part of a team.
    • Empathy, patience, and interpersonal skills.
    • Excellent telephone etiquette and business numeracy skills.
    • Confidentiality, flexibility, and adherence to dress codes.
