Lobatse Town Council – Senior Office Secretary

Overview:

Lobatse Town Council is seeking a qualified Senior Office Secretary to provide high-level secretarial and office management support to Deputy Heads of Departments/Deputy Directors. The role involves handling administrative tasks, managing correspondence, and ensuring efficient office operations.

Responsibilities:

-Receive, screen, and direct clients to appropriate offices.

-Type letters, Savingrams, reports, and minutes while maintaining high standards.

-Manage the office diary and ensure appointments are well-coordinated.

-Supervise and assess the performance of junior office staff.

-Retrieve, process, and organize data for reports and required documentation.

-Oversee the supervision of junior staff assigned to the division within a ministry department.

-Undertake other related duties as directed by management.

Requirements and Skills:

  • Qualifications:
    • National Diploma or Higher National Diploma in Secretarial Studies (NDSS/HNDSS),
    • OR Diploma in Business Skills,
    • OR Bachelor of Office Management (BOM),
    • OR Bachelor of Office Management Technology (BOMT) or an equivalent qualification.
  • Experience:
    • At least two (2) years of experience as an Office Secretary at level C3.
  • Key Competencies:
    • Strong interpersonal skills and ability to work with people.
    • Excellent verbal and written communication skills.
    • Strong organizational and planning abilities.
    • Ability to deliver results and meet customer expectations.
    • Attention to detail and ability to follow instructions and procedures.
