Overview:

The Public Service Commission (PSC) is seeking a dynamic and professional Personal Secretary to provide executive-level administrative support. This role requires an individual with strong organizational skills, discretion, and the ability to handle multiple tasks with accuracy and efficiency. The successful candidate will report directly to the Executive Secretary.


Position Purpose:

To provide comprehensive secretarial and administrative support to the Executive Secretary, ensuring efficient management of documentation, meetings, communication, travel logistics, and supervision of clerical support staff.


Key Responsibilities:

1. Document Production and Distribution

-Type correspondence, reports, and other official documents

-Handle classified documents securely and maintain confidentiality

-Transcribe dictation accurately

-Photocopy, bind, and distribute reports and publications

2. Office Administration

-Receive and direct telephone calls and messages

-Maintain the Executive Secretary’s calendar and schedule

-Manage incoming and outgoing mail and filing systems

-Handle visitor reception and general inquiries

-Monitor office equipment condition and request servicing when needed

3. Travel Coordination

-Prepare itineraries and travel logistics for official trips

-Arrange visas, accommodation, and transport for staff and guests

-Manage tour imprests and verify travel documentation

4. Meeting and Event Planning

-Send invitations and confirm attendance

-Organize meeting logistics, refreshments, and seating arrangements

-Maintain updated guest lists

5. Office Security

-Secure the office environment, documents, and assets

-Manage access to classified materials and systems

-Post security procedures and enforce access control

6. Staff Supervision

-Orient and support new staff

-Identify and recommend staff training

-Allocate duties and monitor performance

-Conduct performance appraisals

7. Additional Duties

  • Perform other related tasks as assigned by the Executive Secretary

Requirements and Skills:

Direct Entry:

-Diploma in Secretarial Studies from a recognized institution with at least five (5) years of relevant experience
OR

-Typing speed of 50 wpm with at least ten (10) years of experience in secretarial duties

-Advanced word processing skills will be an added advantage

In-Service Entry (Promotion):

  • Serving Assistant Personal Secretary with:
    • Diploma in Secretarial Studies plus five (5) years’ experience
      OR
    • Typing speed of 50 wpm plus ten (10) years of experience
  • Advanced word processing skills will be an added advantage
