We are seeking a reliable and responsible Driver/Messenger to safely transport people, documents, and goods to and from designated areas. The ideal candidate will adhere to road safety rules and regulations, follow work schedules, and report any vehicle defects, traffic violations, accidents, or delays.
Key Responsibilities:
Messenger Services:
-Collect correspondence from government institutions, verify against the list, and acknowledge receipt.
-Deliver packages or messages promptly while handling them with care.
-Drive delivery vehicle to the specified destination and reconcile packages upon delivery.
-Maintain communication between the point of departure and destination.
-Obtain receipts or signatures for deliveries and maintain records of daily visits in the logbook.
-Sort deliverable items according to the delivery route to ensure maximum efficiency.
-Confirm deliveries by checking in with the office after each delivery.
-Plan efficient delivery routes and ensure timely distribution of documents.
Administration:
- Ensure requests for copying or binding are executed efficiently and timeously.
- Monitor the availability of messenger services for delivery to financial institutions, government departments, and clients.
- Archive scanned files and documents as per the National Archives Act and RAF’s Record Management strategies.
- Maintain inventory of departmental records, including file plan reference numbers and retention periods.
- Complete the final disposition log/register for records destroyed.
Transportation and Operation:
- Load and unload organizational merchandise securely.
- Transport products, materials, and staff safely to designated areas.
- Recognize and report electrical or mechanical faults to the Facilities Manager.
Vehicle, Machinery & Equipment Maintenance:
- Conduct daily pre-trip and post-trip vehicle inspections to ensure safety standards are met.
- Maintain the working condition of copying and binding machines.
Reporting:
- Report vehicle defects, accidents, traffic violations, or loss of equipment.
- Maintain logbooks as per the Fleet Management Policy.
- Report maintenance requirements for machinery and equipment to the supervisor.
Mail Processing:
- Receive, register, and stamp incoming and outgoing correspondence.
- Sort incoming documents and faxes according to their destination.
- Prepare outgoing mail for bulk mailing and distribution.
- Record details of registered mail and Docex Tracker mail.
- Declare received monies and capture in the register.
Requirements and Skills:
Qualifications:
- Matric or Grade 12 certificate.
- Valid Code 10 (EC1/EC) driver’s license.
- Professional Driver’s Permit.
Experience:
- At least 1 year of experience in driving or messenger services.
Technical and Behavioural Competencies:
- Excellent planning, organization, and coordination skills.
- Strong ethical values, emotional wisdom, and decision-making abilities.
- Client service orientation with effective communication skills.
- Ability to assess vehicle condition and roadworthiness for safety.
- Knowledge of principles and methods for moving people, goods, or equipment.
