Overview

The South African Police Service (SAPS) is seeking a highly organized and professional Personal Assistant to provide dedicated support to the Office of the Deputy National Commissioner: Crime Detection. The successful candidate will be responsible for managing the Deputy National Commissioner’s schedule, organizing meetings, coordinating travel, and ensuring all administrative tasks are completed efficiently. This role requires attention to detail, discretion with confidential information, and the ability to work under pressure.

Key Responsibilities

  • Diary Management: Maintain and organize the Deputy National Commissioner’s schedule, ensuring all appointments, meetings, and engagements are efficiently managed.
  • Meeting Coordination: Organize and coordinate meetings, including booking venues, handling refreshments, and providing timely reminders.
  • Correspondence Management: Draft and manage routine correspondence, including letters, memoranda, and reports.
  • Reception Duties: Handle all visitors and incoming calls professionally, ensuring smooth office operations.
  • Travel and Accommodation: Coordinate travel arrangements, both locally and internationally, ensuring all necessary documents such as passports are in order.
  • Document Handling: Type, organize, and manage confidential documents, reports, letters, and minutes of meetings.
  • Administrative Support: Manage office records, filing systems, and the brought-forward system to ensure easy access to documents when needed.
  • General Support: Provide additional administrative support as required to facilitate the efficient running of the office.

Minimum Requirements

  • Senior Certificate (Grade 12) or National Certificate (Vocational), registered on the National Learner Record Database (NQF level 4).
  • Proficiency in at least two official languages, with English as a mandatory requirement.
  • South African citizenship.
  • No criminal record or pending criminal/departmental cases.
  • Applicants will undergo security screening, including fingerprint verification.
  • A relevant Degree or Diploma (NQF level 6 or higher) is advantageous.
  • Training or courses related to administration will be beneficial.
  • Willingness to work extended hours and handle pressure when required.

Skills and Competencies

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • High proficiency in office software, including word processing and email management.
  • Ability to handle confidential information with discretion and professionalism.
  • Attention to detail and accuracy in managing documents and schedules.
  • Capability to work independently and manage multiple tasks simultaneously.
