Job Description:
WeBuyCars is seeking a highly organized and proactive Administrative Assistant to join our Facilities, Fleet, and Logistics team. The role plays a critical part in ensuring the seamless execution of warehouse and fleet management activities. The ideal candidate will excel at multitasking, exhibit strong administrative skills, and demonstrate great attention to detail.
Key Responsibilities:
Administrative Support:
- Calendar Management: Arrange and manage travel plans.
- Document Preparation: Draft and refine memos, reports, presentations, and other documents with precision.
- Data Management: Organize electronic and physical filing systems, ensuring swift document retrieval.
- Communication: Act as the primary contact for internal and external stakeholders, handling inquiries and requests efficiently.
Communication and Coordination:
- Stakeholder Liaison: Facilitate communication between departments, ensuring prompt responses and coordination of warehouse and fleet activities.
- Meeting Coordination: Organize meetings, manage room bookings, catering, and technical setup.
- Information Dissemination: Share updates and information clearly and accurately with relevant parties.
Documentation and Reporting:
- Report Generation: Assist in creating operational reports, performance metrics, and budget summaries using tools like MS Excel.
- Record Keeping: Maintain up-to-date inventory records, fleet maintenance logs, and track operational expenses.
- Presentation Preparation: Compile data and create professional presentations for management, adhering to company standards.
Project Assistance:
- Project Support: Offer administrative support for projects led by the National Facilities Manager and National Fleet and Logistics Manager, including managing timelines and resources.
- Progress Monitoring: Track project milestones, flag potential issues, and assist in developing solutions to meet project goals.
Operational Support:
- Ad Hoc Tasks: Take on additional administrative duties as assigned by the National Warehouse and Fleet Manager, showcasing adaptability and initiative.
Requirements:
- Experience: Minimum 2 years of administrative experience
