Overview
MANCOSA, a DHET-registered and CHE-accredited private higher education distance learning institution, is seeking an experienced and detail-oriented Administrator to support its Student Bureau and Records operations. This role is vital for ensuring the effective maintenance of student records, coordinating interdepartmental support, and assisting with governance and disciplinary processes.
Key Responsibilities
Student Records Maintenance and Processing
-Maintain reliable and accurate student and alumni records, including enrolment, academic progress, and personal data
-Retrieve and manage student-related documentation efficiently
-Support verification and handling of historical alumni records
-Update and maintain student records using the Student Information System (SIS)
-Process student requests for academic transcripts and official records
Advisory Services and Student Support
-Act as the first point of contact on platforms like FreshDesk / Hubspot for queries on policies, procedures, and student records
-Assist with student information sessions and preparation of training materials
-Intervene in unresolved student queries as directed by the manager
Interdepartmental Coordination
-Monitor and support resolution of interdepartmental student queries
-Provide administrative assistance to ensure departments meet service-level expectations
Grievances and Student Disciplinary Support
-Maintain accurate records of student grievances and disciplinary matters
-Escalate and update case statuses in a timely and confidential manner
Governance and Secretariat Support
-Assist with preparation and coordination of committee meetings, including agendas and minutes
-Support governance activities of the Academic Executive Committee and Senate
-Maintain resolution registers and track action items
-Coordinate activities of the Student Disciplinary and Grievances and Appeals Committees
-Ensure proper recordkeeping of governance policies, SOPs, and charters
Requirements and Skills
Qualifications:
- Bachelorโs Degree or Advanced Diploma in Business Administration, Education, or a related field
Experience:
- At least 2 years in an administrative support role within a higher education environment
Knowledge and Skills:
-Familiarity with student records management and student advisory services
-Understanding of governance processes and experience with student support
-Working knowledge of data protection laws (e.g., POPIA) and institutional policy
-Excellent organizational, multitasking, and record-keeping skills
-Proficient in digital student information and document management systems
-Strong interpersonal and communication abilities
-Ability to collaborate across departments in a professional environment
