Overview

The Department of Defence is recruiting 9 Secretaries to provide professional secretarial, clerical and administrative support to senior leadership structures across Air Defence Artillery Formation HQ, SA Army Headquarters Unit, and ASB Bloemfontein. These are service-driven roles requiring strong organisation, impeccable discretion, and excellent communication.


Key Responsibilities

Front-office & Calls: Receive, screen and route calls; take and relay messages; welcome and assist visitors.

Meetings & Events: Arrange venues, schedules, invitations, refreshments; take/prepare basic minutes; coordinate board/section meetings.

Travel & S&T: Coordinate travel and logistics; prepare and submit subsistence & travel (S&T) claims/advances.

Documents & Filing: Type and format letters, memos, reports; handle classified files where applicable; manage incoming/outgoing documents; maintain effective filing systems.

Office Operations: Operate office equipment (fax/scanner/printer/copier); manage stationery and refreshments procurement; maintain diaries/calendars.

Directorate/Unit Support: Provide day-to-day secretarial support to Directors/Chief Directorates/Commanding Officers; compile routine correspondence; remain abreast of DOD procedures.


Minimum Requirements

Grade 12 / NQF Level 4 (or equivalent).

Secretarial/Administration experience is an added advantage (essential at ADA FMN HQ to have relevant admin/secretarial exposure; appropriate academic qualifications advantageous).

Computer literacy: MS Word, Excel, PowerPoint (Lotus Notes/Outlook where applicable).

Typing skills and proven ability to operate office equipment.

Communication: Excellent English (written & verbal), strong telephone etiquette and interpersonal skills.

Professionalism & Reliability: High levels of discretion, tact, organisation, accuracy and attention to detail.

Clearance: Ability to obtain the required Security/Confidential Clearance within 12 months (applicable to ADA FMN HQ & SA Army HQ posts).

Nice to have: Analytical, innovative and problem-solving ability; ability to prioritise under pressure; creativity and initiative; ability to search/analyse documents and situations.
