Job Overview

Successful candidates will provide secretarial and administrative support to Directors and senior officials within the South African Military Health Service.

The work includes diary management, arranging meetings and travel, processing claims and invoices, drafting correspondence, maintaining filing systems and managing documents entering and leaving the Directorโ€™s office.

Minimum Requirements

Applicants must have:

  • Grade 12 or an equivalent NQF Level 4 qualification.
  • No previous work experience required.
  • Computer literacy, including:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
  • Good telephone etiquette.
  • Good written and verbal communication skills.
  • Sound organisational abilities.
  • Good interpersonal skills.
  • A high level of reliability.
  • Ability to communicate with people at different levels.
  • Ability to act with tact and discretion.

Key Responsibilities

Successful candidates will be responsible for:

-Providing secretarial support to a Director.

-Managing appointments, events and the Directorโ€™s diary.

-Receiving telephone calls and directing them to the appropriate officials.

-Arranging meetings, venues, refreshments and schedules.

-Preparing travel and accommodation arrangements.

-Processing travel and subsistence claims.

-Processing invoices related to the Directorโ€™s activities.

-Taking and recording basic meeting minutes.

-Drafting routine correspondence and reports.

-Maintaining office filing systems.

-Managing incoming and outgoing correspondence.

-Preparing documents for meetings.

-Procuring standard office items such as stationery and refreshments.

-Administering leave and other routine personnel matters.

-Ensuring documents submitted for approval meet departmental standards.

-Keeping informed about Department of Defence policies and procedures.

Important Instructions for Multiple Applications

Each vacancy has a different reference number.

Applicants who want to apply for more than one Secretary position must submit:

  • A separate Z83 form for every position.
  • A separate CV for every position.
  • The correct reference number on each application.
  • Each application to the email or address assigned to that specific vacancy.

Do not put several reference numbers on one Z83 form. Where one application contains more than one post, the Department will consider only the first position listed.
