Overview:
The Ministry of Natural Resources, through the Lesotho Lowlands Water Supply Scheme Unit (LLWSSU), is recruiting a highly skilled and experienced Personal Secretary. LLWSSU oversees the implementation of a major bulk water supply project serving Lesothoโ€™s lowlands. This position is pivotal in providing high-level executive support to the Director by managing schedules, facilitating communication, and coordinating administrative functions for the unit.


Position Purpose:
The Personal Secretary will serve as the first point of contact for the Director, providing comprehensive secretarial and administrative support. The role involves managing calendars, preparing confidential correspondence, coordinating meetings, travel, and acting as a liaison with internal and external stakeholders.


Key Responsibilities:

-Serve as the main point of contact for all matters related to the Office of the Director.

-Manage the Directorโ€™s calendar, travel plans, itineraries, and meeting agendas.

-Draft, review, and manage confidential correspondence and reports.

-Coordinate conferences, strategic planning sessions, staff briefings, and other key events.

-Maintain effective communication between the Director and internal/external stakeholders.

-Handle special projects, executive outreach, and external relations efforts.

-Monitor and prioritize issues and concerns addressed to the Director and recommend responses.

-Ensure smooth communication and information flow between the Director and management teams.

-Prepare documentation and reports needed for meetings and decision-making.

-Provide logistical and administrative support to the senior management team.

-Represent the Director with professionalism, discretion, and a proactive approach.


Requirements and Skills:

-Bachelorโ€™s Degree in Secretarial Services or related field.

-5 to 10 years of experience supporting C-level executives.

-Exceptional written and verbal communication skills.

-High level of discretion in handling confidential information.

-Strong organizational and time management abilities.

-Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and digital platforms.

-Ability to work independently and collaboratively in a fast-paced environment.

-Excellent interpersonal skills and the ability to interact effectively with stakeholders at all levels.

-Strong problem-solving capabilities and attention to detail.
