Purpose of the Position
The purpose of the Clerk Gr 1 Customer Care position is to:
Provide administrative support to an allocated team and promote administrative efficiency in day-to-day operations.
For this particular role, much of the work relates to administration and coordination within the Vehicle Service Centre.
Key Duties and Responsibilities
1. Vehicle Service Centre Administration
The successful candidate will perform daily administrative tasks associated with the interface in the work management process within the Vehicle Service Centre.
This requires accurate administration and effective coordination between the different people involved in vehicle servicing and maintenance.
2. Client Liaison and Vehicle Planning
Responsibilities include:
- Liaising with clients.
- Planning with clients regarding their vehicles.
- Assisting with the scoping of vehicle work.
- Scheduling vehicles for the required work.
- Coordinating the receiving of vehicles.
Good communication and organisational skills will be particularly important in this part of the job.
3. Vehicle Inspections
The Clerk will:
- Coordinate pre-service inspections with Quality Control (QC).
- Coordinate post-service/maintenance inspections with QC.
- Support morning and afternoon inspection activities.
4. Workshop Progress Monitoring
The successful candidate will conduct:
- Daily walk-downs within the workshop.
- Monitoring of vehicles currently inside the workshop.
- Follow-ups regarding progress.
- Reporting back on the progress of vehicles.
This means the role is not limited to sitting behind a desk; it also involves coordinating and following up on activities within the Vehicle Service Centre.
5. External Service Provider Liaison
The Clerk will:
- Liaise with external service providers.
- Follow up on work being performed externally.
- Obtain progress information.
- Help ensure relevant stakeholders remain informed about work progress.
6. Spreadsheets and Reporting
Administrative responsibilities include:
- Updating daily spreadsheets.
- Recording information relating to vehicle histories.
- Maintaining accurate information.
