Overview

Fidelity Services Group is looking for a professional and organised Receptionist / Administrator to join the Fidelity ADT team in Rustenburg.

The successful candidate will be responsible for managing reception and switchboard activities while providing administrative support across the branch. The position also includes filing, purchasing, banking administration, sales lead management and assisting customers with general queries.

This role is suitable for an organised, customer-focused individual who can communicate professionally and manage several administrative responsibilities in a busy working environment.

Key Responsibilities

Reception and Customer Service

– Welcome and assist walk-in customers.

– Direct customers to the appropriate department.

– Operate the branch switchboard.

– Receive incoming telephone calls and transfer them to the correct employees.

– Take accurate messages when employees are unavailable.

– Receive incoming correspondence and ensure it reaches the appropriate person.

– Assist walk-in customers with queries and liaise with relevant departments when necessary.

Administration and Purchasing

  • Order stationery and required documentation from Head Office.
  • Process local stationery requisitions, including pens, paper and other office supplies.
  • Arrange grocery requisitions for items such as coffee, tea, sugar and milk.
  • Obtain supplier quotations when purchases are required.
  • Create or request purchase requisitions.
  • Obtain purchase orders through Head Office Procurement.
  • Place approved orders with suppliers.
  • Check received goods against invoices and purchase orders.
  • Forward relevant documentation for receipting at branch level.
  • Perform additional administrative duties when required.

Filing and Record Keeping

  • Prepare individual files.
  • Ensure the correct documentation is placed in each file.
  • Maintain an organised filing system.
  • File documentation alphabetically according to the relevant debtor codes.
  • Maintain accurate administrative records.

Finance Administration

  • Assist with daily banking activities.
  • Ensure banking information is correctly recorded.
  • Post daily banking information onto the Q-Drive.

Sales Administration

  • Receive sales leads from telephone enquiries and walk-in customers.
  • Complete the required documentation for new leads.
  • Capture leads on Listener on the same day.
  • Update consultant and sales manager records on the Q-Drive.
  • Communicate lead information to sales consultants through the required channels.
  • Distribute previous-day leads between consultants.
  • Prepare and distribute the daily Sales Activity Report.
  • Follow up with consultants regarding lead feedback.
  • Update self-generated leads according to the required schedule.
  • Action instructions relating to leads on Listener.
  • Assist with telesales activities where required.
